Privacy statement

Short and in plain language: what data Bedrijfsgeheugen processes, why, and what rights you have. Last updated: September 2026. How we've set up AI, hosting and security is on the compliance status.

Who is responsible?

Bedrijfsgeheugen (sole proprietorship of Arthur Prinsen), KvK 68765428. Privacy questions: arthur@bedrijfsgeheugen.nl.

What data do we process, and why?

Contact and enquiry forms (name, email address, phone number if provided, company name and your message): solely to respond to your request and provide the advice or report you asked for. Legal basis: performance of the (pre-)contractual relationship.

Self-assessment and Data & AI scan: the answers you provide, to prepare and discuss your personal advice. Legal basis: your request.

Commercial email (tips, updates): only if you separately and actively consent by ticking the box. You can unsubscribe at any time, with one click or one email. Legal basis: consent.

The way it works now

  • The appointment is in one colleague's mailbox
  • Data is manually retyped from one system to another
  • The person who knows is on vacation
  • No one can see afterwards why this decision was made

As it is

  • The agreement is stored with the client, findable for everyone
  • Once entered, information flows through to the rest
  • Work continues, even if someone is absent
  • Every decision has a source, an owner, and a date

How long do we keep data?

Requests and scan results: maximum 2 years after last contact, or shorter if you request deletion. Data necessary for administration (quotes, invoices) are retained in accordance with the statutory retention period of 7 years.

Who do we share data with?

We never sell data. We use a limited number of processors to run the site and service: hosting (Netlify), form processing (Web3Forms), email (Google Workspace) and appointment scheduling (Calendly) and the database with our own site measurement (Supabase, servers in Frankfurt). Data processing agreements apply with these parties; storage may take place outside the EU with parties that fall under the EU-US Data Privacy Framework.

Cookies

We use necessary, functional storage to make the site work and to remember your cookie preference. For visitor statistics we use Google Analytics (GA4); this places analytical cookies and is only enabled after you give permission through the cookie notice (Google Consent Mode). If you don’t give consent, no analytics cookies are placed and the site doesn’t connect to Google Analytics. We also use GoatCounter, a privacy-friendly visitor counter that doesn’t place cookies or collect personal data. We don’t use marketing or advertising cookies or advertising pixels.

Own website analytics without cookies. To improve the site, we measure how pages are used ourselves: which pages you view, which buttons and links you click (the visible text and the link address), how far you scroll, whether you start and submit a form, and how long you are active on a page. We don’t place cookies for this; we use a random code that applies only within one tab and disappears as soon as you close it. We don’t store IP addresses or browser details in these measurement data (only whether it’s a phone, tablet, or computer), and never what you enter in a form. We don’t share this measurement data with Google or other parties, use it to track you across other websites, or link it to your name. We also remember where you came from for each visit, for example a LinkedIn post or a search engine. If you book a conversation through our site in Calendly, we pass that tab code and the page to Calendly so we can see which page led to a conversation; our measurement data does not include a name or email address for this. The data is held by our processor Supabase on servers in Frankfurt and is deleted after 13 months. Because this measurement has little or no impact on your privacy, we don’t ask for your consent. Don’t want this measurement either? Turn on ‘Do Not Track’ or ‘Global Privacy Control’ in your browser; then we won’t measure anything.

You can change your choice at any time: Adjust cookie preferences.

Your rights

You have the right to access, correction, deletion, restriction, portability and objection. Mail for that to arthur@bedrijfsgeheugen.nl — you’ll get an answer within a week. You can also submit complaints to the Dutch Data Protection Authority.

What if Peter leaves? Two out of five rules on this page disappear. That's how it feels when knowledge isn't part of the company.
