Have an AFAS integration built

An AFAS integration automatically connects AFAS Profit with your other systems: your webshop, CRM, planning, or time tracking. Data flows through without anyone retyping it. We build these integrations for organizations with 3 to 250 employees—with a fixed price upfront, delivery in weeks, and a complete handover to your own team. Expect to pay € 3,500 to € 12,000 for a first integration.

30 minutes, no obligation. We choose one process, test the business case and will also say so if integration is not the best solution.

Does this sound familiar?

Each of these actions takes time and causes errors that cost more to fix later. The wrong VAT rate, a duplicate contact, an order that sits for a day.

Do it yourself

Type over this order number. Once is doable. Forty times a day, every day, is a job.

What we connect

From AFAS outwards: relationships and contacts, articles and prices, projects, employees, outstanding items, invoices and sales orders.

From outside into AFAS: webshop orders, website inquiries, time entries, work orders, purchase invoices, and changes from your HR package.

Systems we regularly connect to AFAS: WooCommerce, Shopify, Microsoft 365 and SharePoint, Power BI, planning tools, time-tracking packages, marketing systems, payroll providers, and custom applications.

Is your system not listed? If it has an we'll connect it. If not, we'll tell you that before you pay.

AFAS webshop integration: orders without retyping

Want to connect Shopify, WooCommerce or Lightspeed to Profit? We first assess whether an existing connector will do the job and which customer, product, order and payment data need to flow securely. For Lightspeed, we explicitly check the available API and exceptions before recommending custom development. You get a clearly scoped approach with checks for missing or duplicate orders, rather than just a technically active connection.

AFAS OCI integration for purchasing from suppliers

With an OCI integration, an employee opens a supplier's webshop from AFAS InSite. The shopping basket returns to AFAS Profit as a purchase request; after approval, the order can be sent to the supplier. Purchase requests through InSite must be configured first.

First check which supplier and OCI definition you use, who approves requests, and whether the final order is sent by XML or email/PDF. An existing standard integration may require different work from a custom one.

How we approach it

Choose one process — free consultation

We never start by connecting everything. We choose the process that involves the most manual work and can deliver visible results fastest. Usually, that’s quote → order, or webshop → AFAS.

Fixed price upfront

You get a price per improvement, not an open-ended hourly rate. If it takes longer, that’s our problem.

Building and testing — two to six weeks

We build in a test environment, run alongside real data and only go live once everything checks out. We write error messages in plain language so your team can understand them.

Handover

The integration is yours. Documentation, access and an explanation for the team are included. You’re not tied to us.

The way it works now

  • The appointment is in one colleague's mailbox
  • Data is manually retyped from one system to another
  • The person who knows is on vacation
  • No one can see afterwards why this decision was made

As it is

  • The agreement is stored with the client, findable for everyone
  • Once entered, information flows through to the rest
  • Work continues, even if someone is absent
  • Every decision has a source, an owner, and a date

What it costs

One integration, one direction€ 3.500 – € 6.000
Two approaches to handling exceptions€ 6.000 – € 12.000
Management and monitoringoptional; scope and price agreed in advance

The range depends on the number of fields, the number of exceptions, and whether business rules need to be included. After one conversation, you’ll know which half of the range you’re in. Read a full explanation of the six pricing factors in what an AFAS integration costs.

Why Bedrijfsgeheugen

We don’t sell software. We’re not a vendor that adds licenses to the deal. If an integration doesn’t solve your problem, we’ll say so — even if it costs us a project.

We think in processes, not technology. The question isn’t “can this be integrated?” but “which action will disappear, and which error will that prevent?”

We work without a long engagement. No steering committee, no months-long lead time, no hourly billing. Done efficiently, and then it's finished.

From the field

Technical trading company — website to AFAS

Every website inquiry was manually retyped into AFAS: slow and error-prone. We built a connection between the marketing system and AFAS, with automatic project creation and customer records. The result: every inquiry appears as a project in AFAS within a minute, with no retyping errors.

Professional services — HR to payroll processing

Data used to be transferred manually every month from the HR system to the payroll provider. Now it runs automatically, including checks and error messages in plain language. The recurring manual work — and the rework afterward — is gone.

Frequently asked questions

For a first integration in one direction, budget € 3.500 to € 6.000. If data flows both ways and the process has exceptions, that can rise to around € 12.000. You get the price upfront, not afterward.

Two to six weeks from kickoff to go-live, depending on complexity and how quickly we get access to your environments.

No. AFAS remains your administrative core, including all historical data. We build the connecting layer around it and don't sell software ourselves.

AFAS works with GetConnectors and UpdateConnectors and has no conventional webhooks. In practice, you synchronize on a schedule, often every fifteen minutes or every hour. That's sufficient for virtually any SME process and more reliable than real time.

You. The code, documentation and access are yours. If you want to continue with another provider later, you can do so without any discussion.

No. Everything is delivered so your team can manage it without an IT department. You can subscribe to Connect for maintenance, but it's not required.

With Connect, you can see outages explained in plain language in one place, and get an overview every Monday of what happened automatically that week. Without Connect, you can call us in for each incident.

Where does the process break down in practice?

Orders, customers or time entries are still copied into AFAS manually. Which data need to flow where, who checks exceptions and how can you avoid duplicate entries?

Direct answer

Only integrate what demonstrably causes duplicate work, errors or delays. Start with one data stream, document ownership and error handling, then scale.

What we do

We connect analysis, business intelligence, data and execution so you don't get stuck in advice or loose tooling.

How it works

  1. We clarify the current situation, data and the real bottleneck.
  2. We determine the smallest working solution, owner and measurable outcome.
  3. We implement or prioritize the next step and verify the result.
  4. We secure what works and stop or fix what doesn't work.

What you get

A concrete analysis, priorities, decision criteria, an executable next step and visibility into what needs to be built, integrated or secured next.

For whom and whom not

Right for Dutch SMB organizations that want to solve a concrete process, knowledge, data or AI problem. Not for organizations looking only for a generic tool demo or unproven AI promise.

Costs and choice

Price and scope depend on the chosen next step. View the current fixed packages and pricing logic at pricing for digitization.

Risks and concerns

We work step by step, make assumptions and ownership explicit, use only the minimum necessary data, and maintain human control over decisions and execution.

Frequently asked questions before you decide

Does everything have to be done at once?

No. The preference is one clearly defined problem with a measurable outcome, then scale up.

What does it cost?

The current pricing and package logic is on the pricing page; custom work is only chosen if the scope really requires it.

How do you prevent a trajectory without results?

By defining the problem, owner, success metric and stop criteria in advance, and doing readback and verification after each step.

How we assess your situation

We map your current process, systems, exceptions and costs. Only then do we advise whether an off-the-shelf solution, a custom integration or another approach makes sense.
