Business process automation for SMEs

Most companies don’t have an automation problem. They have five systems that know nothing about one another, and people who bridge the gap by hand every day. We remove that manual work—one piece at a time, at a fixed price per piece.

For SMEs

See for free where automation pays off → Start with the Self-Assessment

30 minutes, no obligation. We determine which manual work costs the most and whether automation is genuinely worthwhile there. If not, we will say so.

Where the manual work is

If you write down what gets manually moved from one screen to another over the course of a week, you usually end up with the same four places.

Order to administration

An order comes in through the webshop or by email, then gets retyped into the accounting package. The same data twice, and twice the chance of a typo.

Hours to invoices

Hours are recorded in an app or spreadsheet, while invoices are in the accounting software. Someone brings them together every month, and it takes a day that nobody counts as work.

Inventory and delivery

What’s on the shelf is in one place, what’s been sold is in another. You only discover the difference when a customer calls.

Reporting

The same files are exported, pasted, and color-coded every month. The figures are correct, but they’re three weeks old by the time anyone reads them.

That manual work doesn't cost money you see disappearing from your bank account. It costs hours from people you already pay—and that's exactly why it can continue for years.

What automation does and doesn’t mean

Automating is not: replacing everything with one large package. That is the promise many companies spend a year and a half on, only to discover afterwards that half the work remained outside that package.

Automation does mean: get the systems you already have talking to each other, so data entered once doesn’t have to be entered again. In most SMEs, eighty percent of the gains come from four or five connections like that.

That’s why we never start by choosing a package. We start by asking which task is repeated most often, and whether there’s a connection underneath that we can set up.

How we do it

Week one

See what’s really happening

A day alongside the people doing the work. Don’t ask what the process is—watch what they actually click. It’s almost always different.

Week two

Get the biggest one out

Set up one connection: the one with the most manual work behind it. Fixed price, and within two weeks you’ll see whether it works.

Then

Move forward one step at a time

Every next connection is a separate decision with its own price. You can stop after any step without throwing anything away. Read about where AI takes over recurring work next at AI automation for SMEs.

What we build runs in your own environment, on your own accounts. You get the keys and the instructions. If you stop working with us, it will keep working.

What it costs

Fixed price per connection, no hourly billing. A connection between two packages that both have an API usually costs between € 2.950 and € 6.500. If there’s no API and it has to be done through files, it means more work, and we’ll tell you that upfront.

If you first want to know where most of your time is going, start with the free Frisse Blik of 30 minutes. If there is sufficient reason for deeper analysis, the Bedrijfsgeheugen Scan costs €2,950 excl. VAT and you receive a report with a business case and next steps. You then decide for yourself whether to continue.

All prices are listed at the product page. No quote needed to know what something costs.

Where we often do this

Most questions are about the same packages. For these we have already found the way, which makes it faster and therefore cheaper.

From first conversation to a decision

1 · Free

Fresh Perspective

In 30 minutes we determine where the biggest manual workload is and whether there is enough value to justify further investigation.

2 · Only if there is a fit

Bedrijfsgeheugen Scan

For €2,950 excl. VAT you get a substantiated business case, priorities and a 90-day roadmap. There is no obligation to have us carry out the implementation.

3 · Proof first

One improvement

We start with the intervention that demonstrably removes the most time, errors or delays. Only then do you decide on a next step.

What happens next

Making a connection is the easy part. The difficult part is that nobody remembers a year later why it was built that way, and who is responsible if it breaks down.

That's why we document what each integration does, why it was chosen and who owns it. It's recorded in Bedrijfsgeheugen, and that’s the difference between something that works and something that keeps working.

Frequently asked questions

Usually two weeks from approval. One week to see what actually happens, one week to build and test. Faster for packages we already know well.

Almost never. We work with the systems you already have. If a system really is the roadblock, we’ll say so — but that’s the exception, not the starting point.

Everything runs on your accounts, with documentation included. You can maintain it yourself or leave that to us. There's no lock-in.

Yes. From around three employees, there’s enough repetition in the work to make it worthwhile. The gains are often greater in small businesses because one person does the manual work of three roles.

Automation without a lengthy engagement — why large projects fail and what works for SMEs.

The way it works now

  • The appointment is in one colleague's mailbox
  • Data is manually retyped from one system to another
  • The person who knows is on vacation
  • No one can see afterwards why this decision was made

As it is

  • The agreement is stored with the client, findable for everyone
  • Once entered, information flows through to the rest
  • Work continues, even if someone is absent
  • Every decision has a source, an owner, and a date

Where does the process break down in practice?

The same tasks recur every week: retyping, checking, waiting and fixing. First identify which step demonstrably wastes time or causes errors.

Direct answer

First make the real bottleneck, the owner and the desired outcome explicit. Then choose the smallest working solution and measure whether it demonstrably delivers value.

What we do

We connect analysis, business intelligence, data and execution so you don't get stuck in advice or loose tooling.

How it works

  1. We clarify the current situation, data and the real bottleneck.
  2. We determine the smallest working solution, owner and measurable outcome.
  3. We implement or prioritize the next step and verify the result.
  4. We secure what works and stop or fix what doesn't work.

What you get

A concrete analysis, priorities, decision criteria, an executable next step and visibility into what needs to be built, integrated or secured next.

For whom and whom not

Right for Dutch SMB organizations that want to solve a concrete process, knowledge, data or AI problem. Not for organizations looking only for a generic tool demo or unproven AI promise.

Costs and choice

Price and scope depend on the chosen next step. View the current fixed packages and pricing logic at pricing for digitization.

Risks and concerns

We work step by step, make assumptions and ownership explicit, use only the minimum necessary data, and maintain human control over decisions and execution.

Frequently asked questions before you decide

Does everything have to be done at once?

No. The preference is one clearly defined problem with a measurable outcome, then scale up.

What does it cost?

The current pricing and package logic is on the pricing page; custom work is only chosen if the scope really requires it.

How do you prevent a trajectory without results?

By defining the problem, owner, success metric and stop criteria in advance, and doing readback and verification after each step.

How we assess your situation

We map your current process, systems, exceptions and costs. Only then do we advise whether an off-the-shelf solution, a custom integration or another approach makes sense.
