Linking AFAS Pocket: how to connect the app to your environment.

First, the practical answer, because that’s probably what you came for. Then the question behind it: why those hours still end up being entered manually on an invoice.

Connect the app to your AFAS environment

AFAS Pocket couples itself via an activation code you retrieve from InSite. In short:

  1. Log in to InSite and go to your own profile.
  2. In the settings, select the option to activate AFAS Pocket. You’ll see a code or QR code.
  3. Open the app on your phone and enter that code, or scan the QR code.
  4. Confirm with your PIN or fingerprint. The app will then remember the environment automatically.

When it doesn’t work, it’s usually one of three things: the code has expired (they’re only valid for a short time), your administrator hasn’t enabled Pocket for your role, or you’re using an environment where two-factor authentication has to be set up separately. Your AFAS administrator can spot the last one at a glance.

New phone

With a new device, you start again with a fresh activation code. The old connection won’t be removed automatically — ask your administrator to clean it up, or a device you no longer use will still have access.

And then the question behind it

Most people looking this up do so because they need to enter hours or invoices. The app works, the hours are in it, and then something strange happens: at the end of the month someone pulls them out again to create invoices from them.

That's where the money leaks out. Not in the app, but in the handover that follows. In a company of twenty people, that can easily add up to a day a month—work nobody counts as work because it's always been done that way.

Hours to invoices

What’s entered in Pocket can go straight to the invoice line items. No intermediate step, no retyping.

Expense claims to accounting

A receipt that has been approved shouldn’t have to be entered again by the accounting team.

Leave requests into the schedule

If leave is recorded in AFAS but not in the schedule, you find out on the wrong morning.

These aren't big projects. They're connections you set up and then forget about because they just work.

What it costs

An integration between AFAS and the system that receives the hours or invoices usually costs between € 2.950 and € 6.500. Fixed price, usually working within two weeks, and you get the keys included.

If you first want to know where most of your time is going, take a look at the Fresh Look: a day of on-site observation for € 2.950, with a report you can use to continue on your own.

The way it works now

  • The appointment is in one colleague's mailbox
  • Data is manually retyped from one system to another
  • The person who knows is on vacation
  • No one can see afterwards why this decision was made

As it is

  • The agreement is stored with the client, findable for everyone
  • Once entered, information flows through to the rest
  • Work continues, even if someone is absent
  • Every decision has a source, an owner, and a date
